Responsible AI Use and Privacy Policy

The policy applies to all team members, client engagements, and internal operations. 2. Acceptable Uses of AI

  • Supporting SMB clients with AI enablement strategies and implementations.
  • Drafting documents, code, training materials, or prototypes to accelerate client projects.
  • Enhancing internal productivity (e.g., research, summarization, project planning).
  • Conducting experiments and pilots, provided outputs are validated by a human before client use.

3. Prohibited Uses of AI

  • Entering client confidential, regulated, or personally identifiable information (PII) into AI systems without explicit client consent and safeguards.
  • Using AI outputs as final deliverables without human review.
  • Employing AI for discriminatory, deceptive, or harmful purposes.
  • Circumventing licensing, usage limits, or security features of AI platforms.

4. Data Privacy & Security Guidelines

  • Treat all client data as confidential unless explicitly marked otherwise.
  • Use secure channels and approved platforms for data handling.
  • Do not upload sensitive client data into public or unapproved AI tools.
  • Follow applicable privacy regulations (e.g., GDPR, CCPA, HIPAA if relevant to client data).

5. Transparency & Disclosure Rules

  • Disclose when AI-generated content has been used in client deliverables.
  • Clearly communicate AI system limitations and risks to clients.
  • Ensure clients understand when AI recommendations require further human validation.

6. Bias & Fairness Safeguards

  • Avoid reinforcing harmful stereotypes in deliverables.
  • Provide clients with guidance on monitoring AI fairness when systems are deployed.

7. Accountability & Review Process

  • Each deliverable incorporating AI must have a designated human reviewer.
  • Report any AI-related errors, risks, or misuse immediately to leadership.
  • Review this policy at least annually to adapt to evolving laws, tools, and client needs.
